1. Who is responsible for your data

Freedom Property Academy LTD is the “data controller” for the personal data described in this policy.

You can reach us about privacy at privacy@freedompropertyacademy.com, or by post at 1 Kensworth Gate, 200-204 High Street South, Dunstable, England, LU6 3HS.

2. The data we collect

Account data, username, email address, and (for paid accounts) a verified mobile phone number.
Identity/verification data, email and phone verification status; where you sign in via Google, Apple or Facebook, the email address they share with us.
Payment data, processed by our payment provider; we receive confirmation and limited transaction details, not your full card number.
Membership & learning data, your tier, course progress, test results and the answer you picked for each test question, journal entries, meeting requests and community messages.
Documents and photos you upload, a proof of address document (a photo or PDF) if you verify your address, your profile photo, and files you attach to support messages.
Content you create, community messages, subjects and replies, Deal Marketplace adverts, deal analyses, and the landlord and agent contacts you add to your CRM (you are responsible for having the right to keep their details).
Safety records, reports you make about posts or members, and the members you block.
Referral data, if you share your referral link: the signups and purchases made through it and the commission they earn and, when you ask for a payout, the name, sort code and account number of the bank account it is paid into. Bank details are stored encrypted, only the academy owner can view them, to make the transfer, and they are deleted if you delete your account; the record of a payout already sent keeps only the last four digits of the account it went to.
Usage & device data, the pages and app screens you open while signed in, with the type of device and (on the website) the country you connect from; see How we measure use of the platform below. With your cookie consent, the analytics tools named in our Cookie Policy also collect pages viewed, approximate location, IP address, browser and device information on the website. The app uses no cookies, third-party analytics or advertising identifiers, and our servers record the IP address of each request, for security.
Communications, messages you send us and your marketing preferences.
Terms acceptance, which version of our Terms & Conditions you accepted, when, and the IP address and browser or app you used.

3. How we use your data and our lawful bases

We only use your personal data where the law allows. The main bases we rely on are:

Contract, to create and run your account, deliver the training and membership you sign up for, and take payment.
Consent, for non-essential cookies and for optional marketing emails; you can withdraw consent at any time.
Legitimate interests, to secure, maintain and improve the platform, prevent fraud and misuse, and understand how the service is used (balanced against your rights).
Legal obligation, to keep records (for example for tax) and comply with the law.

4. Marketing

We will only send you marketing where you have opted in or where permitted by law. Every marketing email includes an unsubscribe link, and you can change your preferences or opt out at any time by contacting us.

5. Cookies

We use cookies and similar technologies. Non-essential cookies (analytics and marketing) are only set after you consent via our cookie banner. See our Cookie Policy for details and how to manage them.

6. How we measure use of the platform

When you are signed in, on the website or in the app, we record which pages and screens you open and when, and the type of device (phone, tablet or computer). On the website we also note the country your connection comes from. We use this on our own systems, under our legitimate interest in running and improving the academy: to see which parts members use and when a member was last active. It is not shared with advertising or analytics companies.

If you are not signed in, we only count page views per day: the page, the website or campaign link that sent the visit, the country and the type of device. Nothing identifies you, and no cookie or other data is stored on your device for this.

We work out the country from your IP address on our own server, using a country database we hold, and we do not store the IP address for it. When you create an account we also note where you came from, such as a campaign link, another website or a referral code. Page and screen records are deleted after 13 months; where you came from is kept with your account. All of it is deleted if you delete your account.

7. Who we share data with

We do not sell your personal data. We share it only with trusted providers who process it on our behalf, including:

Payment processing (our payment provider).
Hosting and infrastructure.
Real-time messaging (our chat/broadcast provider).
Email and SMS delivery (for verification and communications).
Analytics and performance tools (for example Google Analytics 4, Meta Pixel, Microsoft Clarity), subject to your cookie consent.
Professional advisers and authorities where required by law.

8. International transfers

Some providers may process data outside the UK. Where they do, we ensure appropriate safeguards are in place, such as UK adequacy regulations or the International Data Transfer Agreement / Standard Contractual Clauses.

9. How long we keep it

We keep personal data only as long as necessary for the purposes above, including to meet legal, accounting or reporting requirements. When it is no longer needed we securely delete or anonymise it.

If you delete your account, we erase your data straight away, except the records described below that the law or the security of the service requires us to keep.

10. Deleting your account

You can delete your account yourself at any time: in the app (More, Profile & settings, Delete account) or on the website (Profile, Delete account). If you cannot sign in, email privacy@freedompropertyacademy.com from the address on your account. Our Delete your account page (https://freedompropertyacademy.com/delete-account) lists everything that is deleted.

We keep only: payments, invoices and receipts, your subscription and payment plan records and your consent to start digital content, for six years from the end of the financial year they relate to, as UK tax law requires; your acceptances of our Terms & Conditions, as evidence of the terms that applied, for the same period; referral commission records for the same period; and security logs, to protect the service. They stay linked only to an anonymised account number.

11. Your rights

Under UK data-protection law you have the right to:

Be informed about how your data is used.
Access a copy of your personal data.
Have inaccurate data corrected.
Have your data erased in certain circumstances.
Restrict or object to certain processing.
Data portability.
Withdraw consent at any time where we rely on consent.

12. How to exercise your rights or complain

To exercise any of these rights, email privacy@freedompropertyacademy.com. We will respond within one month.

If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office (ICO) at ico.org.uk, or by calling their helpline. We would appreciate the chance to address your concerns first.

13. Security

We use appropriate technical and organisational measures to protect your data, including encrypted connections and access controls. No online service is completely secure, but we work to protect your information and have procedures to deal with any suspected breach.

14. Children

Our services are intended for adults aged 18 and over. We do not knowingly collect data from children. If you believe a child has provided us data, contact us and we will delete it.

15. Changes to this policy

We may update this policy from time to time. The current version, with its effective date, is always published on this page.
